As a 100% volunteer organization we depend on Richmond BMX track members to operate every day. There are several different volunteer days each week and every one depends on you, Richmond BMX members and families, to ensure we deliver on our commitment to providing a fun, safe and exciting BMX Racing experience for everyone.
To ensure that volunteers can identify specific days they are available volunteer, sign up for events, and track their volunteer hours we are using Sign Up Genius this season .This helps us plan for what work can be completed on a given day and alerts us to when we are understaffed and must identify additional volunteers. It’s critical that all volunteers use this site to ensure we are always properly staffed and at the end of the year we recognize those that really make Richmond BMX so successful.
There are several different events that happen each week and they are all equally important and reliant on volunteers. Below is a description of each type of volunteer event and descriptions of how you can get involved.
Race Day
The most important day of the week, when all the work we have put into the track and grounds comes to fruition. Every race day we need many critical positions filled and will not start racing until those positions are filled.
- Head Official* – Head of all scoring and track official position. Hears all protests and makes final decisions on disqualifications.
- Registration – 2 positions for Registration during sign-ups
- Primary Registration Clerk* – This position enters riders into Race Manager and collects race fees. Accuracy is critical to ensure riders are correctly entered. Also is in charge of distribution of awards at the end of the race.
- Support Clerk – This position supports the Primary Clerk and prepares registration for race day activities (registration supplies, awards, etc), assists with registering riders, posting motos, awards distribution and any other support the Primary Clerk.
- Scoring – Minimum of 2 persons recording race results.
- Head Scorer* – Score all riders finishing position for every moto. Ensures agreement in results between scorers, makes call on disputed finishes, responsible for making last straight foul calls, reports fouls to head official.
- Second Scorer* – Score all riders finishing position for every moto. Assists with last straight foul calls.
- Third Scorer (Optional) – Score all riders finishing position for every moto. Assists with last straight foul calls.
- Gate Starter* – Operator of starting gate, performs a double check of riders in moto for correct gate position, responsible for ensuring all riders are ready and safe, makes 30’ foul calls, ensures that all riders are ready for the start of the race.
- Stager* – Official responsible for staging up riders into correct motos before entering the starting gate. Assigns letters for number plates when required.
- Turn Official – Minimum of 2 officials with Announcer filling one spot for total of 3 officials.
- Turn 1* – Required position, official is responsible for calling track fouls during each moto and supporting decisions by head official on protests filed by racers. Provides immediate rider support in a crash without assisting riders when a finishing position is undecided.
- Turn 3* – Required position, official is responsible for calling track fouls during each moto and supporting decisions by head official on protests filed by racers. Provides immediate rider support in a crash without assisting riders when a finishing position is undecided.
- Turn 2 – Optional position when announcer is able to cover turn 2, official is responsible for calling track fouls during each moto and supporting decisions by head official on protests filed by racers. Provides immediate rider support in a crash without assisting riders when a finishing position is undecided.
- Announcer* - Performs all public address functions, relaying race plan information throughout the day, reading track sponsor details during race events, calls race action, assists with foul calls on 30’, turns and last straight.
- Concessions* - Several volunteers needed for the operations at concessions. Activities include but are not limited to:
- Food Sales
- Track Merchandise Sales
- Loaner Helmets
- Loaner Bikes
- Stocking inventory
- General Concessions maintenance
- Setup and Tear Down* – Several individuals are needed for setup and tear down of the starting gate, PA system, registration, concessions and other items each race day. Extra hands not filling the above positions are appreciated as those individuals have already volunteered for several hours.
Practice/Clinic Day
Every Tuesday we host clinics from 6pm-dusk and every Thursday we host practice from 5pm-dusk and while much of the support needed for race days are not required for practice and clinic days, there are a few required positions that must be filled for each.
- Registration* – 1 positions for Registration during sign-ups, MANDITORY that all practice and clinic events are registered same as a race day event as specified by USABMX. This position enters riders into Race Manager, collects fees and is required for every practice and clinic event. Can be performed in conjunction with Concessions position.
- Gate Starter* – Operator of starting gate, responsible for ensuring all riders are ready and safe for the gate drop.
- Concessions* – While limited on non-race days, operation of concessions for drink, bike parts, RBMX merchandise, loaner helmets and bikes is required. Can be performed in conjunction with Registration position.
Track Work Day
Every Saturday from 10am – 4pm the track has scheduled work days to perform required maintenance on the track and grounds. We require a minimum of FOUR volunteers before work starts on the track and if the minimum is not met, the Track Operator will make the call to either cancel the work day or continue with the volunteers available. IMPORTANT* It is important to note, if the track requires repairs and they are not completed due to low volunteer turnout, the following race day may be cancelled due to poor track conditions. Track work day activities can include but are not limited to:
- Preparation/Repair of the racing surface – The most physically demanding work, involves shoveling, raking and other strenuous activities required to get the track into race condition.
- Grass cutting – Every 2-3 weeks the grounds around the track need to be cut and trimmed using lawn mowers and string trimmers.
- Grounds Improvements – Any general improvements to the grounds. Can include painting, repairs, new feature installation, trash removal and many more.
- Concessions Preparation – From time to time the concessions and storage buildings require some TLC.
* This is a required position and the event day cannot start without this position filled!
